Event Planning Guidelines

Our goal is to exceed your expectations by serving the freshest seasonal food, beautifully displayed, and served professionally by our highly trained staff. These guidelines will assist event planning basics.

Arranging and Reserving a Date

Even if the date or guest count of your event is only tentative, please notify our catering sales office of your event so that we can make preliminary plans to ensure a memorable occasion.

Reserving a Location and Date

Whether the event is to take place on or off site, you will need to have a confirmed reservation and date for the venue location before we will be able to make deliveries.

Payment

All catered functions must be secured by payment before they occur. Payment types include Visa, MasterCard, American Express, and Departmental Accounts. Organizations with tax exempt status will be required to submit a copy of their exemption Certificate (4) business days prior to their event date.

Changing or Cancelling an Event

All cancellations or changes must take place at least (2) business days before your function. If you do not contact us with a final count within the (2) business days allowed, we will prepare for the estimated number and charge accordingly. If you cancel or change an event after this deadline, some of the expenses already incurred cannot be absorbed and will have to be billed.

Delivery Fees

There is no delivery fees for catering services held on the business campus. Deliveries outside the business campus will be subject to a 12% service charge.

Service Staff

To ensure that your event is a success, a catering staff will be provided for all served meals and some buffets. If additional time is needed, a fee of $25.00 per hour, per attendant, will apply. When attendants are needed, services are at an additional charge of $25.00 amount per hour, per server, with minimum of (4) hours. Buffet style functions are staffed with one attendant for every 30 guests and are included with the per guest price. All waited meals servers are included.

Catering Equipment

As the host of the catered event, you are responsible for the equipment we have provided for the service of your catered event. Any missing or damaged catering equipment or supplies will be charged to your account at replacement cost.

Food Allergies

Please advise the catering manager (Martin Steinke) in advance of any food allergies you or your guests may have.​ This also includes religious or special dietary needs.

Tables and Chairs

Rose Medical Catering has the ability to rent tables, chairs, special linen and any other specialty catering needs for your event. We need 14 days notice in order to schedule these special needs for your event. Our standard tables are six foot long rectangle tables. Please note: Environmental Service does not set up any room needs, (i.e. tables, chairs and AV needs). The customer is solely responsible for the room setup for all meetings. The Rose Medical IT dept is responsible for all IT needs in conference rooms.

Dining Ware

Rose Medical Catering will set up disposable plates and utensils free of charge. Coffee service, and buffet services will all be disposable dining ware unless china service is pre-ordered. The cost for china place settings is $5 per person. Rose Medical Catering does not provide china service in rooms other than our main conference rooms. When placing a reservation please let us know you will need a china catered service so we can schedule appropriately.

Floral Charges

We will be happy to order, receive, and handle floral arrangements for you. For decorative requests, an additional fee will be determined in accordance with your specific order.

Linens and Skirting

We will provide linens and skirting for food and beverage tables at no charge. If you would like linen to be placed on guest tables for receptions, breaks, meeting tables and boxed lunches, there will be a $5.00 fee for each tablecloth. Other tables may be covered at $6.00 per tablecloth.

Cake and Special Dessert Policy

Rose Medical Catering can order special cakes or cupcakes as needed for your event. The requires 7 day lead time. Please provide a credit card to pay for these items before your event.

Food Removal Policy

Due to health regulations, it is the policy of HCA, that excess food items from events cannot be removed from the event site. Items purchased for pick up should be properly stored prior to the event and removed and disposed of by the host of the event.

Procedure for Catered Food Effective May 23, 2024

It is recommended to request catered food as far in advance as possible. Some requests may not be possible without adequate notice.

Food Will be supplied upon request for meetings fitting the following criteria:

  1. Physician meeting and events - The meeting or event is for a physician participation or physician and staff participation.
  2. Employee events longer than 4 hours.
  3. Approved Employee appreciation event - Your C needs to approve the event in advance.
  4. All other requests for catered food will need to be submitted for administrative approval by Natalie, Rose CFO.

If your request for catered food meets criteria above, please email this request to Martin.Steinke@HealthONEcares.com. If you have received the approval of your C or Natalie, please send a copy of the email from them approving the catering spend along with your request.
